Community Services Coordinator

Under the supervision of the Community Services Supervisor, assists in the planning, organizing, and implementation of community recreation programs and special events.  Oversees the overall operation of City parks and tennis facility, including supervision of part-time recreation staff.
Examples of Duties
  • Trains, schedules, assigns and reviews work of part-time recreation staff;
  • Schedules tennis facility programs and events;
  • Processes registration for year-round tennis lesson program and collects/accounts for all related fees;
  • Administers all aspects of tennis program cash handling/payment procedures;
  • Maintains inventories, sells and accounts for program supplies and equipment,
  • Maintains, records and prepares reports related to new tennis members, recreation classes, cash-flow, daily cash reports and daily deposit receipts;
  • Prepares official minutes and agendas of Equestrian Committee, Park and Activities Commission and ad-hoc committees;
  • Provides and promotes excellent customer service to internal and external customers;
  • Seeks event sponsorships and supports Pepper Tree Foundation;
  • Assists in supporting, planning, coordinating and implementing with all City special events and activities as assigned;
  • Inspects facilities  for damages and needed repairs and performs routine park and facility maintenance as needed;
  • Assists with recreational instructor recruitment, class schedule and registration process;
  • Assists with promotional and public outreach of community recreation programs and City special events and activities by helping prepares press releases, publications (e.g. recreation brochure, newsletters, etc.) and other promotional materials (e.g. signage, banners, flyers, etc.);
  • Ensures adherence to park and tennis facilities and department rules of conduct, policies and procedures by staff and patrons;
  • Manages recreation and event registrations;
  • Orders supplies for tennis office as needed;
  • Coordinates Picnic Permits program;
  • Coordinates Community Organization Event Park Permit Applications and park preparation tasks;
  • May prepare reports and presentations for the Equestrian Committee, Park and Activities Commission and ad-hoc committees and City Council meetings;
  • Provides communication as needed to City's appointed bodies;
  • Performs other duties as assigned. 
Typical Qualifications
Education and Experience:
 
Any combination of education and experience that would provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and skills would be:
  • Completion of one year of coursework within a recreation-related specialty, fine arts, or a related field, or one year of specific and substantial experience which prepares one to function in this position may be substituted for the required year of education
  • One year or equivalent of general recreation leader experience, preferably in municipal recreation or any combination of training and experience which may provide the required knowledge, ability and skill;
  • At least six months of supervisory or lead experience over one or more staff or volunteers.

Job-related Certifications/Licenses:

  • Must possess a valid California Driver's License with a safe driving records;
  • CPR/First-Aid Certification preferred.

Knowledge of:

  • Basic principles of supervision, including training and motivating people;
  • General recreation programs;
  • Techniques for dealing effectively and with a high level customer service interacting with the public, vendors, contractors, and City staff, in person and over the telephone;
  • Facility rules and regulations;
  • Cash register operation and cash handling;
  • General office equipment. 

Ability to:

  • Provide effective supervision in organizing, assigning, coordinating recreation staff;
  • Communicate effectively;  
  • Establish and maintain a positive and effective working relationship with staff, city officials, civic groups, members of the community;
  • Follow oral and written instructions;
  • Exercise independent judgment while carrying out duties and responsibilities;
  • Perform simple mathematical calculations and elementary bookkeeping;
  • Maintain accurate records of activities;
  • Operate a cash register;
  • Work weekends and holidays;
  • Organize and coordinate activities of the Community Services Division;
  • Provide effective supervision in organizing, assigning, coordinating recreation staff;
  • Work under moderate pressure, handling problems and tasks that arise simultaneously and/or unexpectedly;
  • Ensure compliance with rules and regulations of facility use.

Must clear process under Section 5164 of the CA Public Resources Code.
Must clear LiveScan fingerprint (background) check.
Must pass Pre-placement physical exam.
Must clear E-Verify process.

Supplemental Information
PHYSICAL REQUIREMENTS:
Moderate; Requires the ability to perform on-site field inspections including exertion of a moderate amount of physical effort to stoop, crouch, climb and lift in performance of assigned duties; Requires the ability to walk long distances, including uneven terrain; Performs work involving lifting, pushing and/or pulling of objects which may weigh up to 25 pounds; May have with prolonged periods of sitting within office environment; May require some driving to different locations; Intermittently twist to reach office equipment; Bend, squat and kneel when filing; Walk and stand when operating office equipment; Write or use a keyboard to communicate through written means; Hear and talk with the public; File papers and reports; May be required to work evenings and/or weekends; Ability to be present at work during normal business hours; Ability to hear and speak to communicate in person or over the telephone.
