Park & Sports Manager
Job Overview:
The position of Park & Sports Manager is a key position within a dynamic team serving one of the premier Master Planned housing communities in the nation. The right candidate will be an independent self-starter and will be curious and able to perform research to find creative solutions to complex challenges. This is a management level position that reports to the Assistant General Manager for the Rancho Santa Margarita Landscape and Recreation Corporation. The Park & Sports Manager is responsible for the management, supervision and implementation of all park use permit reservations and the permit system; sports field maintenance, renovations, upgrades, and in-use readiness; the interface with all sports organizations, to include approvals, Youth Sports Council Chairmanship, allocations, scheduling, fee collection and documentation, and the interface with the Youth Sports Council.
The expectation for this individual is to support the Assistant General Manager to meet Board goals and objectives.
Compensation: $75-85k
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
Job Responsibilities:
In addition to all other duties and responsibilities described within the generic job description for Park & Sports Manager, the following specifically apply to this position. Other duties may be assigned.
Park Reservation Use Permit System Management
- Manages the Park Reservation Use Permit System to include generation, approval, and use of
- detailed permit use guidelines, translation of authorized sports group allocations into detailed
- D/T/P permits, permitting one-time reservation requests, coordinating special park activities,
- creation and maintenance of database programs, and providing detailed and summary use
- data reports.
- Respond to all SAMLARC approved organizations or general resident’s phone calls, either
- directly or by returning messages the same day, regarding general P&R inquiries or emergency calls during scheduled use.
- Keeps SAMLARC Beach Club Staff informed of relevant P&R information through posting of park use schedules, use guidelines, maintenance schedules, upgrade work in process and other information that can enable them to answer resident questions or otherwise perform their duties.
Organized Sports Management
- Serves as liaison to the Youth Sports Council to include calling and chairing four meetings a year, providing the agenda and minutes, coordinating appropriate follow-up action, and keeping appropriate Council database information up to date.
- Manages annual allocation of all outdoor park sports field facilities that are requested by approved organizations.
- Assists in and maintains contact with the Youth Sports Council in their efforts to coordinate the allocation of all sports fields in the surrounding communities as it affects SAMLARC facilities and residents.
- Manages processing new sports organization applicants for Board approval.
- Manages collecting, monitoring and reporting of user organization board rosters, team rosters, use schedules, residency data, insurance, fees and other items as required.
- Resolves any sports field use conflicts between authorized users.
- Proposes new organized outdoor sports programs to include researching needs, determining program provider availability, initiating start-up and managing the program operation.
- Attendance at all Sports League opening days and other important functions i.e. tournaments and fundraising events.
Sports Field Management
- Performs weekly inspection of all parks and sports field facilities to check for and ensure compliance with requirements of the Sports Field Inspection Maintenance contract.
- Manages the supervision of facility use readiness for each reserved scheduled use to include coordination and supervision of maintenance contractor performance to sports field inspection contract and, response to emergency in-use needs.
- Manages the determination and performance of sports field refurbishments during park-use off-seasons.
- Assists in the major renovations to parks to include new ball field designs, sports use changes, and shutdown timing coordination.
- Manage all sports field upgrades to include bid specifications, bids solicitation, determination of contractor, supervision and timing of installation.
- Reviews and authenticates all invoices for park sport fieldwork ordered.
- Maintains updated computer files of vendor quotes received, work done, and quality of service performed.
Administrative
- Work in conjunction with the Assistant General Manager for Board packet agenda items and compilation. Prepare complete and accurate Board Reports and associated exhibits. Attend Board meetings and present reports as appropriate.
- Provides all sports field budget and expenditure data as requested by the Assistant General Manager.
- Provides monthly management project status reports as required by the Assistant General Manager.
- Performs monthly Sports Field Inspection Report Cards to the Assistant General Manager.
- Commits to continual learning as evidenced by attendance at seminars, trade shows and training conferences

- Demonstrates excellent organizational, written and oral skills.

- Must be able to work on a computer and enter information onto spreadsheets and prepare correspondence both textually and graphically.
- Must be proficient with Microsoft Office programs including Excel.

Supervisory Responsibilities:
- Supervise and train all onsite associates as necessary; monitor sub-contractors in the areas of performance, contract compliance, work orders, supply purchases, safety and security.
- Prepare and/or oversee the preparation and conduct of all performance reviews as required.
- Enforce all applicable safety, health and environmental regulations.
- Supervise and/or oversee the supervision of contractual agreements with vendors and contractors.
- Ensure, receive and approve service requests and related work orders, in accordance with established procedures.
Physical Requirements & Working Environment:

- Must be able to lift 25lbs.
- Must be able to visit and inspect recreation facilities and job sites.
- Must be able to sit for extended periods of time.

- Must be mobile enough to move around within the office and throughout the venue.
- Ability to walk slope and/or flat association areas and visually review landscape, building areas, recreation facilities, parks, etc. to ensure proper maintenance.

- Consistent and regular attendance required.
- Hours over and above normal office hours will occur, including weekends and holidays.
There are times when employees may be required to work hours outside of, or in addition to the scheduled working hours. Supervisors schedule according to the needs of the client and provide as much notice as possible whenever there is a requirement to reschedule. Education & Experience:
- Four year college degree or greater preferred.
- Have extensive knowledge of outdoor park sports field facility functions, designs, use scheduling, regulation generation and maintenance.
- Have extensive knowledge of organized volunteer sports group organizations available, their operation and their needs.
- Have experience in youth sports, either managing or coaching, or as staff.
- Have extensive experience in park use computer programs administration.
- Have extensive experience in dealing with the general public on facility use issues.
